Job Title: Inventory Clerk- Logistics & Distribution
Department: Logistics & Distribution
Reports to: Logistics & Distribution Manager
Purpose: The incumbent is responsible for the effective management, security, distribution and reconciliation of Company’s stock.
Duties & Responsibilities:
Stock Management:
Prepare for Stock Count as required/instructed by Inventory/ Manage all perpetual, quarterly and year end stock-takes for both Damage and Main Warehouse.
Investigate and Reconcile stock at all perpetual, quarterly and year-end stock-takes within specific deadlines for both Damage and Main Warehouse
Ensure stock count is in line with the Company’s Policy towards a Nil Variance for both Damage and Main Warehouse.
Ensure timely execution of perpetual stock counts as well as recommending categories of concern
Ensure all goods have the correct codes in preparation for stock-take for Damage and Main Warehouse.
Posting and updating MerSys with stock adjustments (write-offs/donations/fixed assets)
Posting of STNs (Stock Transfer Notes) and GRNs (Goods Received from Supplier).
Ensure timely follow-up of shortages and overages from the containers with Commercial
Ensure write offs are done on a timely basis – once weekly.
Checking/Review of Delivery Notes after posting to ensure accurate posting and signatures
Investigate and action weekly Deliveries Outstanding reports
Timely action and submission of all reports assigned
Responsible for the maintenance and updating of Repossession folder
Manage the Damaged Warehouse process:
Ensuring the recording and labelling of all damaged goods from Quality Checks process, incoming shipments, staff incidents and returns/ collections are processed in a timely manner.
Immediate transfer of all damaged goods from Main Warehouse (01) to Damaged Warehouse (07) daily
Ensure items are properly stored in the area designated for the damaged goods.
Ensure Master lists in the virtual damaged warehouse are updated daily for all categories of items such as Repaired, Collections, Repossessions, and Quality Check failures
Ensuring Master lists are shared with Branch Supervisors/Managers for their selection
Communication with Commercial for pricing of goods in timely manner
Management of Goods on Loan from the collection point
Identify all collections/returns and repossessed items for write off
Prepare and submit write off list for approval
Make arrangements for disposal of write off items
Ensure effective communication with Technical Service to identify all collects or damaged items for repair or write-off
Risk Management:
Ensure that:
Personal protective equipment (PPE) are worn all time while on the job.
Safe working practices are always maintained in the warehouse.
Inbound and Outbound Process:
Receiving goods including loading and offloading activities
Delivery Process including branch and customer delivery activities
General:
Assist with the stock management activities at Technical Services
Any other related duties assigned by Management
Specifications:
QUALIFICATION / EDUCATION:
Tertiary / CAPE or Equivalent
Diploma in Business Studies
EXPERIENCE:
At least three years’ experience in similar field
Knowledge/background of auditing is an asset
